How to Request Tableau for Employees
Environment

Tableau Server

Tableau Cloud

Tableau Public

Solution

Tableau licensing must be ordered through Technology Services. Please submit requests through the IT service desk system: https://itsupport.vcu.edu/. See detailed options below.

VCU Tableau Server

VCU Tableau Server is not publicly available and requires RamsVPN use or a university workstation with Zscaler. This environment is approved for Cat 1 data, hosted on-premises and managed by Technology Services.

Viewers can interact with dashboards, visualizations and embedded content that has been published by Creators and tailored by Explorers. Creators require a dedicated license (~$770/person/year). The university has enterprise licensing allowing unlimited Explorer and Viewer access. Licensing is renewed annually in April, so for this fiscal year there would be:

  • the prorated, initial cost of licensing for now through April
  • the full annual renewal cost due in April
  • Tableau Server licensing must be ordered through Technology Services. Please submit requests through the IT service desk system: https://go.vcu.edu/ramscentral

Tableau Cloud

The Tableau Cloud environment is cloud-hosted and managed by Tableau at the same cost as Tableau Server. There is no enterprise licensing option for Tableau Cloud. There is no pre-approved data classification for Tableau Cloud, review the How Do I Classify Data page and consult with VCU Information Security before posting data to Tableau unless it has been explicitly approved to be shared publicly.

Roles and licensing requests are the same as VCU Tableau Servers. Please submit requests through the IT service desk system: https://itsupport.vcu.edu/

Tableau Public

https://public.tableau.com

Tableau Public is cloud-hosted and managed by Tableau at no cost. Dashboards that are explicitly intended to be shared publicly may be suitable for Tableau Public. Potential drawbacks are that published dashboards will be viewable world-wide and there is no capability for automated data feed refreshes.

Requests may be submitted for access to Tableau records.

FOIA related requests:

Freedom of Information Act requests for data, that may be contained in VCU Tableau records, must be forwarded to University Public Affairs for review and approval. They will coordinate any request with involved departments. Visit us for more information.

Investigative requests:

Access to Tableau records is determined by the data owners/custodians.  Investigative access requests are handled on a case by case basis.  Exceptions should be submitted to the VCU Technology Services CIO or Director of Central Services for review and approval.
